Provides general support to the Human Resources Department. Maintains employee benefit knowledge to appropriately educate employees and manage databases in terms of benefits. Maintains knowledge of ACA requirements. Maintains monthly DOL and HCR required IRS reporting. Provides support for timekeeping data to ensure correct payment of employees according to established policies and procedures. Maintains employee handbook and updates as approved by President. Performs diversified human resources and administrative duties for the department, as needed. Reports directly to the Director Human Resources.

Maintains confidential files on all employees; prioritizing benefits reporting and timekeeping information for payroll as primary focus.
Coordinates the benefits education process to provide information to eligible new hires in a timely manner; obtains necessary data for each employee.
Provides answers to employees with benefit questions in conjunction with the Director HR.
Demonstrates a high degree of accuracy and attention to details at all times.
Follows up with employees when benefit selection information is not received in time for monthly benefits reporting.
Maintains ongoing online tickler system for benefits reporting for accuracy/completeness.
Coordinates employee education at time of ineligibility or loss of benefits in conjunction with Director HR.
Communicates with manager/department director for informed decision making.
Maintains current knowledge of ACA and IRS reporting requirements for HCR.
Prepares and submits IRS reporting information as needed.
Responsible for verifying employee applicant information by contacting references, verifying previous employment and assisting with licensure/certification verification.
Knowledgeable with pre-employment testing process and maintains test inventory.
Administers pre-employment testing program. Provides appropriate instruction.
Demonstrates the ability to accurately audit timekeeping/payroll data as requested.
Assists with job description/performance evaluation form maintenance, as needed.
Provides back up for MHCH general orientation of new employees and assists with packet preparation, as needed.
Assists with creation of new employee file, as needed.
Maintains Employee Handbook including changes as approved by President.
Assists with Welfare Plans Form 5500 and related information required for successful audit meeting all requirements and regulations.
Maintain benefit explanation sheets for various status positions.
Knowledge of current employee standards as they relate to TJC, ACA, federal and state regulations. Remains current in the field.
Documentation meets current standards and policies.
Practices good guest relations with patients, visitors, physicians and staff; assists as needed.
Answers the telephone in a professional and courteous manner. Takes messages accurately, directs call to appropriate personnel.
Demonstrates knowledge of the facility’s history, mission, services and organizational structure.
Encourages MHCH Department Managers’ compliance in activities pertaining to HR.
Promotes effective working relationships between managers and staff.
Able to describe roles and functions of Chief of Staff, physicians, Administration, Health Information Management Services, Risk Management and other departments.
Knowledge and ability to assist with maintaining medical staff files, as needed.
Adheres to dress code; appearance is neat and clean.
Maintains regulatory requirements.
Maintains employee confidentiality at all times.
Reports to work on time and as scheduled, completes work within a designated time.
Wears identification while on duty.
Utilizes computerized punch time system correctly.
Completes annual education, including HealthStream online requirements
Attends departmental in-services, as scheduled. Attends appropriate external educational in-services, as recommended and approved.
Utilizes various tools available, i.e. email, Pulseweb, newsletter, and manager to stay informed about hospital activity, change and policy.
Complies with all organizational policies regarding ethical business practices.
Abides by hospital’s code of conduct and ensures that all hospital activities are conducted ethically in accordance with applicable laws and regulations.

Represents the organization in a positive and professional manner.
Bachelor’s Degree in human resources or related field required.
Master’s degree preferred.
Three (3) to five (5) years of Human Resources experience required.
Senior Professional Human Resources (SPHR) or Professional Human Resources (PHR) certification preferred.
Able to communicate effectively in English, both verbally and in writing.
Computer: proficient knowledge of computer programs and processes, Microsoft Office Suite and database management.
Organization: ability for the following: attention to detail, time management, multi-tasking, establishing priorities, organizes efficiently and maintains deadline-oriented goals.
