Associates degree or equivalent with a minimum of 4 years of executive/administrative level secretarial and/or office experience or comparable formal education.

Demonstrated effectiveness in customer relations skills and communication skills, both orally and in writing. Proven ability to handle sensitive and high stress situations that require a high degree of confidentiality.

Demonstrated exceptional organizational expertise and skills.

Demonstrated understanding and use of Word, Excel, Power Point, Access and Visio.

Demonstrated understanding and use of the Internet for research purposes.

Keyboarding speed of 65 wpm with high degree of accuracy. Demonstrated proficiency in transcription and word processing with excellent grammar, spelling, formatting and punctuation skills.


Reports to President and Chief Executive Officer.

Receives assignments from other departmental staff.

Has constant working contact with corporate members, board members, hospital staff, managers, directors, administrative staff, medical staff, and general public.

  5. Acts on behalf of the administrative staff and Munson Healthcare, and as such, is responsible for representing the organization and the department in a positive manner. Performs all functions and activities with the highest level of professionalism, confidentiality and tact.

  6. Assists the President/CEO in the preparation and distribution of correspondence/communication in an accurate, professional and effective manner including correspondence, forms, tables, charts, schedules, etc. often confidential in nature.

  7. Effectively schedules meetings for the President/CEO, Board Members, Administrators, and other departmental staff. Communicates arrangements to meeting participants and ensures necessary preparation and set-up for meetings. Often this includes a verity of contacts outside the Hospital in order to obtain or relay information, arrange meetings, etc. dealing with individuals who are influential or important to the Hospital.

  8. Schedules and organizes meetings and material for the Board of Directors, Board of Trustees and related Board Committees.

  9. Schedules and organizes meetings and material for the Corporate membership, including the Annual Corporate meeting.

  10. Assists the President/CEO with the preparation and distribution of all Board material and Board Committee material.

  11. Maintains all Board and Corporate records, correspondence and official documents.

  12. Present at all Board and Corporate meetings and maintains official Board/Corporate meeting minutes.

  13. Answers telephone consistent with department standards. Accurately records messages and notifies appropriate person. Effectively screens questions and directs appropriately to department/individual to ensure timely and quality response. This may include processing complaints registered by staff, patients and/or family members.

  14. Makes travel arrangements and reservations for President/CEO, Board Members, Administrators and others as assigned. Reviews travel and expense reports as requested.

  15. Accurately files and maintains department and administrative filing systems purging when necessary.

  16. Is able to research relevant information on the Internet, operate e-mail (GroupWise), send attachments, etc. as appropriate for Hospital use.

  17. Performs other duties and responsibilities as assigned.
