REQUIREMENTS

Education Associate degree in a Business or Healthcare related field required. In lieu of associate degree, consideration will be given to individuals with recent relevant experience and education.

National Certification in Health Information Technology/Administration preferred.

Requirescustomer relations seminar, i.e. dealing with difficult people.

Successful completion of a Medical Terminology class is required.

Previous Experience Two or more years in Health Information Management (HIM) required within a hospital setting. Previous experience handling multiple telephone calls and filing systems required Previous experience and the ability to educate staff in the following software applications or processes :

Kronos Outlook Microsoft Office – Advanced Microsoft Publisher Chart tracking/deficiency system Powerchart – All facilities e-Signature Scanning of paper-based documents STAR MPI STAR Account Inquiry Information Release Systems Application Extender Electronic Birth Certificate Policy & Procedure System (Siemens) Right Fax Block Signature Task Queues Message Center/Steal Proxy

Capabilities Ability to apply Joint Commission requirements, HCFA regulations, HIPAA regulations, Medical Staff Rules and Regulations, and department procedures when reviewing a medical record to identify deficiencies that could jeopardize hospital certification, legal and/or financial status.

Demonstrated proficiency in records management/maintenance

Demonstrated ability to coordinate staff activities

Exceptional organizational skills required.

Exemplary customer relation skills and proven ability to communicate effectively and accurately, verbally and in writing with all levels.

Demonstrated ability in working and problem-solving with hospital medical staff required.

This position’s organizational contact requires the exercise of a high degree of diplomacy and discretion. Supports hospital and managerial decisions.

No managerial responsibilities, but has the ability to act on behalf of the management staff in their absence.

SPECIFIC DUTIES

  • Assesses need for, develops, and coordinates continuing education and clinical education programs/activities.

  • Facilitates development of competency testing for all HIM staff.

  • Represents HIM Department at inter and intra departmental meetings.

  • Assists in creation of all policies, procedures, guidelines, job descriptions, etc., including typing and distribution.

  • Educates employees on selected hospital and departmental policies and procedures.

  • Assists with the interviewing process of job applicants.

  • Orientates new employees to the HIM Department.

  • Coordinates daily and weekly functions within the HIM clerical section (i.e. activities/scheduling, standardization of processes, orientation and training, productivity and quality standards, policy development/revision, etc.).

  • Participates in discussions about new programs and service line problem solving. Leads daily, weekly, and/or monthly process improvement activities; stresses team participation.

  • Assists department management with regard to budget data collection (i.e. price research, reconciliation of charges to Management Responsibility Reports).

  • Acts as liaison to the Medical Staff for all record completion activities.

  • Acts as a resource person regarding questions related to departmental operational issues. Directs inquiries to other appropriate persons.

  • Responds to customer complaints, problem solves and gathers information to help diffuse problem situations. Presents information to management staff, as necessary.

  • Educates employees in departmental software applications.

  • Coordinates the activities of special projects within the HIM Department.

  • Supports managers in accomplishing specific section goals and department goals.

  • Acts as a resource person for employee questions and concerns in management’s absence.

  • Performs technical duties in the absence of HIM Specialists, Senior HIM Clerks and other employees, as requested or needed.

  • Coordinates and maintains selected portions of the Clerical Ladder process.

  • Compiles data for Joint Commission reporting.

  • Processes electronic time cards for accuracy and reports attendance for the Management Staff. Adheres to Human Resource policies for FMLA, jury duty, on-call, etc., and monitors eligible time off under these policies.

  • Maintains and updates departmental orientation materials, as well as assists management staff with the technical aspects of new employee issues, i.e. mailboxes, supplies, etc.

  • Schedules appointments, meetings and coordinates educational programs for the Managers and staff, as appropriate; preparation of handouts, equipment and room setup.

  • Transcribes various materials for the HIM Department and the Patient Financial Services group when requested.

  • Places orders for the Department from multiple vendors.

  • Performs other duties as assigned.
