The Medical Staff Office Department Assistant will be a professional self-starter responsible for a wide variety of administrative functions supporting department operations and relations with physicians and advanced practice providers. This person must be detail oriented, possess excellent technical and communication skills, and have the ability to liaison with medical staff members, hospital departments, and system affiliates. The ideal candidate is a motivated multi-tasker who will be proactive, resourceful, organized, and able to work efficiently with many interruptions. ENTRY REQUIREMENTS High school diploma required. A minimum of three (3) years secretarial and/or office experience required, preferably in the health care field. Possesses outstanding interpersonal, communication and telephone skills. Demonstrates ability to effectively handle sensitive and high stress situations. Displays considerable initiative and ability to work independently. Demonstrates excellent grammar, spelling, formatting and punctuation skills as well as intermediate mathematical and computation skills. Ability to respect the confidential nature of information available within the department. Proficiency with Excel, Word, PowerPoint and overall computer required. Accompanied by keyboarding skills of 65 wpm with high degree of accuracy. ORGANIZATION: This position falls under the general supervision of the Manager, Medical Staff Services. Takes direction from Munson Medical Center Chief Medical Officer and has cooperative working relationship with Medical Staff leadership and receives assignments from other departmental staff, as needed. SPECIFIC DUTIES 1. Supports the Mission, Vision and Values of Munson Healthcare 2. Embraces and supports the True North philosophy of Munson Healthcare. 3. Promotes personal and patient safety. 4. Uses professional, effective customer service/interpersonal skills at all times. 5. Answers telephone consistent with department standards. Effectively screens and provides accurate information timely and quality response. Greets guests and walk-ins and directs them to appropriate person/hospital department for assistance. 6. Schedules Medical Staff, Department/Section/Committee meetings and events and assists in room/venue scheduling, event coordination, and necessary follow-up. 7. Distributes all incoming faxes and responds to hospital verification requests. 8. Assist department staff with maintenance of provider credentialing information and medical staff files while working collaboratively with system credentialing office. 9. Participates in credentialing compliance survey readiness and code/disaster preparedness. 10. Types memos, correspondence, agendas, minutes, prepares mailings, creates meeting packets, and any other general clerical needs of the office, Medical Staff leadership, and Departments/Sections/ Committees. Transcription as needed. 11. Creates, maintains and distributes department/sections meetings schedule to all medical staff members and hospital departments. Track minutes. 12. Manages and schedules provider orientations, coordinating with applicable departments. Prepares orientation itineraries and informational packets. 13. Maintain Medical Staff policy files and assist in tracking and routing drafts and approvals. 14. Manages and completes travel arrangements, expense reports, P-Card tracking, check requests, and department expenditures as needed. 15. Maintains inventory, ordering and organization of all department supplies. 16. Carries out special assignments with minimal direction and coordinates resources from hospital departments to accomplish tasks. 17. Performs other duties and responsibilities as assigned.
