About Coordinator System Policy

Munson Healthcare seeks a Coordinator System Policy. This position is a temporary, two-year assignment located in Traverse City, MI. A full-time benefits package will be available for the duration of employment. More details will be provided to candidates selected to interview.

SUMMARY

Will have system oversight for our policy and procedure administration review. Will work closely with each entity to ensure standardization and compliance across the system.

ENTRY REQUIREMENTS

Associate Degree and two to five years of hospital/medical office or related experience required. In lieu of Associates degree, consideration will be given to individuals with a minimum of 5 years recent relevant experience and education.

Proficient use of computer technology including database use, Microsoft Office (Word, Excel, PowerPoint, Outlook), and relevant application(s) at an advanced level. Experience with remote meeting platforms (i.e. Go-to-Meeting) preferred.

Demonstrated exemplary customer relation skills and professional demeanor, with proven ability to communicate effectively and accurately, verbally and in writing, with all levels within the organization and with outside agencies.

Must possess the interpersonal skills necessary to effectively communicate and interact with personnel at all levels of a healthcare organization, as well as with external customers. Demonstrated ability to effectively handle sensitive and high stress situations.

Demonstrated ability to organize and facilitate multidisciplinary meetings and to collect, organizes, and prepares data for presentation.

Position requires a high degree of confidentiality regarding information available within the department and hospital.

Self-directed; able to work effectively and efficiently with multiple interruptions and changing work priorities. Strong organizational and time management skills required. Able to make quality, independent decisions using analytical and problem solving skills. Demonstrates initiative and creativity in assigned work. Highly detailed and team oriented.

ORGANIZATION

This position exists within the Division of Quality and Patient Safety and has direct reporting responsibility to the Director of Organizational Quality and Patient Safety. Also has accountability to the System VP of Quality and Safety. Has contact with administration, physicians, other health care professionals, and Munson Healthcare staff at all levels.

SPECIFIC DUTIES 1. Supports the Mission, Vision and Values of Munson Healthcare.

  1. Embraces and supports the Performance Improvement philosophy of Munson Healthcare.

  2. Promotes personal and patient safety.

  3. Uses effective customer service/interpersonal skills at all times.

  4. Coordinates administration of the electronic policy system for Munson Healthcare (MHC) entities:

    • Coordinates maintenance of policy system:

    • Enters new/updated documents into the system and submits them to owners for approval.

    • Facilitates archiving and retrieving documents in order to meet regulatory requirements.

    • Facilitates notification of document owners four months prior to expiration.

    • Monitors outdated policies and prompts owners accordingly

    • Follows appropriate chain of command to promote accountability of document owners.

    • Provides reports within one month of outdate to appropriate Senior Leadership team members.

    • Reassigns policy owners as necessary related to job transfers, leaving the organizations, etc.

    • Provides education to document owners regarding work flow processes.

    • Provides education regarding precise CMS and other regulatory language requirements to all system entities.

    • Assures required language is included in all documents.

    • Collaborates with Information Systems to assure functionality of the operating system(s).

    • Maintains relationship with system vendor as appropriate

  5. Facilitates oversight of MHC policies and individual system entities:

    • Evaluates submitted documents in order to assess for and reduce redundancies.

    • Routes documents through appropriate approval processes (i.e. system/organizational policy oversight committees, Pharmacy & Therapeutics Committees, etc.).

    • Ensures documents meet established requirements for naming conventions and accepted policy templates.

    • Schedules and facilitates system and MMC policy oversight committee meetings; maintains open communication with entity policy oversight committees. Function of the oversight committee is not to evaluate content or context. As the facilitator of the system policy oversight committee this position is responsible for:

    • Assessing structure, punctuation, consistent nomenclature and use of abbreviations.

    • Assessing clarity of documents in order to support end-user understanding.

    • Ensuring one primary policy exists for organization, but includes relevant content to support individual entities/departments.

    • Assuring value to those using the documents.

    • Reviewing documents that have content change as well as those being renewed.

    • Consistently providing reports to appropriate SLTs regarding expired documents.

  6. Prioritizes completion of work activities in accordance with division goals and needs with input from division management.

  7. Knowledge of Joint Commission and other regulatory mandated policies; maintains record of system policies to meet essential requirements.

  8. Supports system/entities during anticipated/unanticipated surveys by regulatory bodies in regards to document retrieval and updates.

  9. Demonstrates a commitment to professional growth and development.

  10. Performs other duties and responsibilities as assigned.
