High school graduate, Business course curriculum (minimum requirement).
Additional education/course work in secretarial science or related course work is desired.
Associate Degree preferred. Two years of experience of secretarial experience in a hospital or health related field are required.
Must demonstrate outstanding organizational skills.
Medical Terminology course completed, good spelling, word comprehension and concise, legible handwriting or printing is preferred.
Excellent communication skills required. This should include both personal communication and telephone communication.
Gathers and organizes information in regards to medical histories and physical, lab, x-ray, EKG reports and other pertinent patient information from hospital departments and physician office for patient surgical and procedure charts.
Assures that all information is present in a timely manner.
Maintains an ongoing chart tracking/filing system within department to assure appropriate, timely readiness of the charts.
Receives all patient information from physician’s office and ancillary departments. Organizes information for action and easy retrieval.
Reviews orders and contacts ancillary departments as appropriate.
Sends all Pharmacy orders to Pharmacy.
Gathers information and prepares monthly reports for statistical and quality review use. Organizes information for RN chart review on a daily basis. Works with Admission Planners to facilitate review of chart information as it becomes available and notification of physician’s office concerning abnormals.
Prepares reports/schedules on word processor.
Accesses Medstar and other in house systems as appropriate for patient population chart information.
Carries out special project assignments and reports as directed by the Director of Registration Services/Switchboard.
Uses CQI to analyze work problems. Works as an active team member with A.R.T.C. staff to assess/improve department activities.
