About Cultural Program Director

The Old Art Building in Leland, Michigan is seeking a Program Director. Knowledge of Excel, Word, QuickBooks, & Access is required, and grant writing experience is a plus. Candidate will be the primary contact for scheduling events, classes, programming, and budgeting. Working some weekends and evenings is required. Thirty hour per week minimum. Responsibilities

  • Is responsible for day-to-day operation of the OldArtBuilding
    • User and trouble shooting skills for use of equipment:  Computer and printer, email, phone answer machine and voice mail, fax machine, copy machine, Visa terminal and typewriter.  Order paper, ink cartridge and other office supplies.
    • Furnace thermostat programming and monitoring.  Sprinkler system program and trouble shooting.  Keep manual file.
    • Submit bills to bookkeeper, record donations and tuition payments, deposit checks to checking account or endowment fund and record amounts on ledger sheet or computer.
    • Order office/ cleaning supplies, restroom supplies, salt in winter
  • Is responsible for helping to set up for scheduled events, coordinate with program leaders and participants, collect event fees or charges, and to assist with programs in other ways as directed by the Board
    • Recruit program leaders for a diversified program.  Sets up summer program for adults and children and type copy ready schedule for timely printing and advertisement.
    • Recruit visual, performing artists, and film for year around programs.
    • Keep calendar accurately and allow set up time between programs.
    • Collect tuition, keep records and compute artist payment for bookkeeper to write checks.  Work with treasure on financial issues and concern.  Input checks, credit cards, Paypal into QuickBooks
    • Advertising – display ads for Leelanau Enterprise, weekly and monthly calendar updates for the Express, Traverse Magazine, etc. with various deadlines for free advertising.
    • Building use contracts, payments, and refunds.  Makes sure security deposit refunded after building inspection.
  • Represents the Board and its policies to program leaders and participants insofar as the Building Use Policy is concerned, and takes reasonable steps to ensure adherence to that policy.
    • Keep track of keys allocated to building users.  Review Building Use Policy with renters and program leaders, especially re: usage of heat, lights, stage, lock up procedure, trash pick up and clean up.
    • Understand electrical panel circuits and how they relate to the main building and the addition.
  • Is responsible for seeing that the Building is in order and ready for events; also for seeing that the person in charge of the event leaves the building in an acceptable condition.  Check for any damages.
  • Sees that the building is opened for events on time, that programs begin and end on time, and that the building is secured when not in use.
  • Performs routine building custodial care, including, but not limited to, such things as:  emptying waste containers, keeping restrooms clean, picking up after programs, tending to the water cooler, etc.
    • Schedule cleaning person according to building use
    • Contract other appropriate service providers as needed.
  • Performs other functions related to building operation as required, at the direction of the board.
  • Grant writing – search for appropriate grant makers to assist with funding for programs and events.  Submit grant proposals and follow up reports to meet deadlines.  Research state and local funding opportunities.
  • Collaborate with existing non-profit entities to assist and promote the arts in the area.  Often, this means attending a monthly meeting.
  • Access date entry update and categorization – daily update of database with new registrations and donations.  Labels for newsletter, board members and any bulk mailing needs.  Knowledge of bulk mailing procedure.
  • Email board meeting agenda wtih board president and minutes from secretary in a timely manner.  Correspondence to new and resigned members.
  • Member of Program Planning and Research Committee
  • Attend conferences as deemed necessary by the board.
  • Maintain archives of pictures and publications of OAB events and activities
  • Supervise volunteer coordinator/office assistant
  • Assist event and fundraisers as needed: 
    • Performing arts – Book Coffee House series, Keep Jazz Alive, and outdoor concerts
    • Work with committee for Young Michigan Filmmakers event and Winter Film Series.
    • Exposures – coordinate with Deb Freed & school art teachers
    • Artist in Residence program – meet with committee in August to plan for the next year’s artist invitation
    • Artists’ Market – Emails/letters to vendors, receipt of registrations/checks, schedule volunteers for set up and be at LCCC booth. Income report.  Mark off booths, post names for each booth.  Open building at 7am and oversee volunteers for the day.
    • Art Leelanau, work closely with committees and time line for this major fundraiser
    • Fiber Festival, Merry Marketplace – email information to artists, track fees, set up spreadsheet for program, labels and sales records

About Leelanau Community Cultural Center

Located in the historic Old Art Building in Leland, the LCCC offers special events, art exhibits, adult art classes, exercise classes, and the Children’s Summer Program. Events include the Coffeehouse Performance Series, Film Nights, the “Leland Air” Plein Air Event, the Artist in Residence program, the Leelanau Summinars lecture series, the Young Michigan Filmmakers Festival, the Artists’ Market, the annual Art Leelanau Benefit Exhibition, the Leland Heritage Festival, Fiber Festival, and Holiday Art Fairs.
